Body

Purpose:  The Purpose of this document is to outline the process for requesting, printing, billing, and collecting poster printing requests.

Scope: this document is to outline how LITS Team handles the Poster Printing Requests.

Responsibility: The responsibility of this relies on LITS Team.

Process DetaIl:

  • LITS Staff would reassign the ticket to themselves (Responsibility changes – Maria Gonzales)
  • Download the attachment
  • Check the type of paper and the poster dimension and how many copies were requested
  • Here are the instructions on how to change the poster paper roll on the HP Plotter Printer.

Loading Paper:

 

  1. The spindle has a stop at each end to keep the roll in position. The blue stop can be removed to mount a new roll; it slides along the spindle to hold rolls of different widths. Remove the blue paper stop from the end of the spindle.

 

You may need two people to handle a large roll.

 

  1. Slide the new roll onto the spindle. Make sure the paper type is oriented as shown below. If it is not, remove the roll, turn it 180 degrees and slide it back on to the spindle. There are labels on the spindle showing the correct orientation.

 

  1. From the back of the printer, the blue stop is fitted onto the right-hand end of the spindle. Ensure both ends of the roll are as close to the spindle stops as possible. With both hands, push the spindle into both roll holders at the same time. The spindle snaps into place.

 

 

  1. Insert the edge of the paper into the feeder. Roll the spindle into the feeder until you feel resistance. The printer detects the paper and feeds it automatically into the printer.
  2. Once the paper is fed into the printer, the front-panel display asks if you are loading a roll or a sheet. Select Roll with the Up and Down keys and press OK.
  3. Select your paper category and type:

When the roll is aligned, the front panel displays the Ready message, and the printer is ready to print. If the roll is not aligned, follow the instructions on the front-panel display.

  • Go to the designated computer next to the plotter printer and launch HP click application 

Click on select file to open the file requested in the ticket

  • If the poster is sized correctly, its dimensions will be accurate. Custom sizes can also be specified if needed.
  • Vertical trim option needs to be turned on and select number of copies needed. Click print.
  • Once the poster(s) are printed, contact the user via phone and email to inform them that their poster(s) is/are ready for pickup. Confirm and document the agreed-upon pickup date and time in the TeamDynamix ticket.
    Change the status from New to In Progress
  • In POSTER DETAILS, select type of Paper, poster dimensions, quantity of the poster, unit price and Total Amount Due.
  • Pricing Breakdown: Bond Paper = $5.00 sq ft. and Glossy/Satin Photo Paper = $7.00 sq ft

Calculation::24” X 36” = 864”

864” converted to sq ft. = 6 sq ft. (864 / 144)

6 sq ft. times $5 (bound paper price) = $30.00

$30.00 per poster times 2 posters: Total $60.00

  • Assigned the "Generate Service Request Invoice" workflow to this service request.
  • Once the invoice is generated, review it to ensure all details are accurate.
  • Reassigned this service request to IT-BUS-Business Group.
    • The IT Business Office will receive a notification that payment needs to be collected, along with a copy of the invoice generated for this ticket."
